About the Workshop Administrator Role
The Workshop Administrator will be responsible for overseeing workshop procedures and monitoring vehicle service schedules in accordance with OEM specifications. The role demands strict adherence to Safety, Health, and Environmental regulatory requirements within the workshop environment, ensuring a safe and productive workspace.
Key Responsibilities of the Workshop Administrator
- Update daily workshop staff attendance and communicate absenteeism, overtime, permissions, and leave details to HR.
- Manage the automated gate system for vehicle entry and exit within the workshop.
- Verify that job requests for general checkups on trailers and tractors match records in the Mastruck system.
- Ensure driver complaints and workshop supervisor notes are accurately recorded in the system.
- Accurately log tasks and job allocations in Mastruck.
- Coordinate downtime activities such as greasing, diagnostics, and fabrication.
- Manage and approve parts requests in collaboration with the workshop manager and supervisor.
- Oversee spare parts verification before replacements to maintain cost control.
- Ensure 100% adherence to service schedules and workshop standard operating procedures.
- Verify all job cards are completed and signed off by drivers after services.
- Monitor timely completion of truck and trailer maintenance as per schedule.
- Support appraisal processes for mechanics and prepare performance reports to identify strengths and weaknesses.
- Handle warranty replacement requests and follow-ups.
- Enforce workshop safety protocols in line with SHEQ standards to prevent accidents and property damage.
- Implement company ISO rules, regulations, and procedures rigorously.
- Perform additional duties as assigned by superiors.
Skills and Knowledge Required
- Highly organized with excellent attention to detail.
- Fluency in spoken and written English.
- Strong understanding of maintenance repair methods, techniques, and procedures.
- Experience with automated Fleet Management Information Systems, preferably Mastruck.
- Knowledge of safety practices and mechanical techniques.
- Sound knowledge of diesel engine mechanics, truck configurations, and parts suppliers.
- Ability to plan, organize, and direct skilled and semi-skilled workshop staff.
- Proficient troubleshooting and diagnostic skills for truck repairs.
- Ability to foster effective working relationships with employees.
- Strong coordination, reporting, and record-keeping capabilities.
- Flexible, proactive attitude focused on quality and productivity.
- Reporting directly to the Workshop Manager.
Qualifications and Experience
- Minimum Diploma in Automotive Engineering.
- At least five years of extensive experience managing a workshop or fleet.
- Managerial qualifications are an added advantage.
