About the Role

Reporting directly to the Chief Executive Officer and the Head of Financial Reporting, the Workflow Administrator will oversee the timely execution of all client assignments. This position focuses on managing schedules, tracking tasks, coordinating teams, and ensuring that projects move smoothly through Maveriq Accounting’s service delivery pipeline. While not responsible for technical accounting reviews, the Workflow Administrator guarantees that assignments are completed, reviewed by qualified personnel, and delivered within agreed deadlines.

Acting as the central point of coordination between Account Managers, the Financial Reporting Manager, clients, and senior management, the Workflow Administrator maintains visibility over all active engagements to ensure consistent and timely delivery.

Key Responsibilities for Workflow Administrator Jobs in Zambia

  • Assignment Planning and Coordination: Monitor and track active client assignments, schedule and allocate tasks, coordinate timelines, and ensure smooth progression through service stages.
  • Workflow Management: Manage the firm’s workflow system, maintain dashboards and reports, follow up on overdue tasks, and escalate issues to management as needed.
  • Account Manager Oversight: Track progress of assignments, enforce adherence to deadlines, promote accountability, and facilitate handovers between teams.
  • Client Communication and Delivery: Serve as liaison for clients regarding assignment status, provide updates, manage expectations, and coordinate delivery of completed work.
  • Management Reporting: Prepare regular reports on assignment status, overdue tasks, and workflow performance, highlighting risks and recommending improvements.
  • Process Improvement: Identify inefficiencies and bottlenecks, propose workflow enhancements, support automation initiatives, and promote consistent management practices.

Qualifications and Experience

  • Diploma or Degree in Business Administration, Operations Management, Project Management, Accounting, Finance, or a related field.
  • At least 2 years’ experience in operations coordination, project management, workflow administration, or client service roles.
  • Strong organizational and task management capabilities.
  • Proficiency with workflow management systems and computer literacy.
  • Excellent communication skills and ability to manage multiple stakeholders effectively.

Additional advantage:

  • Experience within accounting, audit, tax, or professional services environments.
  • Familiarity with accounting service processes and client engagement.
