Key Responsibilities of the Stores Supervisor

The Stores Supervisor will play a crucial role in maintaining accurate inventory records, securing warehouse assets, and supporting operational continuity. Primary duties include:

• Enforcing safety policies and preventing unauthorized warehouse access.
• Maintaining a clean and accurate item master file by managing additions, unit measures, and eliminating duplicates.
• Collaborating with user departments to enhance item descriptions and specifications in line with industry standards and OEM catalogues.
• Identifying slow-moving or obsolete stock items and obtaining management approval for appropriate action.
• Organizing and securing scrap and reclaim yards to prevent theft and pilferage.
• Conducting daily and periodic reconciliations for fuel, cement bags, explosives, refractories, stationery, PPE, and tools.
• Storing hazardous materials safely and ensuring availability of material safety data sheets.
• Managing efficient cycle counts, from scheduling through to discrepancy reporting within agreed timeframes.
• Overseeing gas cylinders and mineral water bottle inventories at the plant and refill points.
• Maintaining accurate records for stock transfers, goods inward and outward registers, and ensuring compliance with SOPs.
• Generating daily and monthly management reports to support operational transparency.
• Participating actively in safety meetings, pep talks, and housekeeping activities to foster a safe working environment.
• Executing additional duties as assigned by management to support business objectives.

Additional Duties and Operational Management

• Ensuring effective stock holding to support uninterrupted company operations.
• Managing item master files by identifying duplicates and correcting insufficient specifications or unit measures.
• Processing stock returns to accurately reflect maintenance costs.
• Promoting item standardization and managing user interfaces regarding inventory matters.
• Developing and implementing housekeeping plans for warehouses and stockyards.
• Coordinating timely maintenance, repair, and servicing of buildings and equipment.

Qualifications and Experience Required for Stores Supervisor Jobs in Ndola

• Bachelor’s degree in Supply Management or a related field.
• Minimum of five years’ experience in inventory management.
• Strong understanding of stock and procurement management systems.
• Knowledge of max-min inventory calculations.
• Basic technical knowledge of mechanical, electrical, instrumentation, refractory, and heavy mobile vehicle parts.
• Familiarity with safety rules and regulations governing warehouse operations.
