Role Overview for Stores Officer Jobs in Lusaka
The Stores Officer will oversee the receipt, storage, issuance, transfer, and reconciliation of raw materials, packaging, and finished goods. This role demands meticulous attention to detail, rigorous record-keeping, adherence to stock rotation principles, and maintaining high hygiene standards to ensure seamless stores operations.
Key Responsibilities
- Inventory Control: Accurately record all stock movements including receipts, issues, returns, transfers, wastage, and adjustments; maintain updated stock records in the ERP system; conduct cycle counts and full stocktakes; reconcile physical stock with system data and report discrepancies; monitor stock levels and trigger replenishment alerts; track expiring, slow-moving, damaged, and obsolete stock.
- Receiving and Documentation: Verify incoming goods against purchase orders and delivery documents; inspect quantities, batch numbers, expiry dates, packaging conditions, and temperatures where applicable; maintain goods received records; promptly report shortages, over-deliveries, damages, or quality issues.
- Food Safety and Traceability: Implement FIFO and FEFO stock rotation methods; maintain batch, lot, and expiry data for traceability; quarantine damaged or nonconforming stock; record cold-room and freezer temperatures as required; ensure correct segregation of raw materials, finished products, packaging, and chemicals; keep stores clean, organized, and audit-ready.
- Stock Security and Issuing: Issue stock only with approved documentation; prevent unauthorized stock movement or access; support production teams by timely issuance of materials; collaborate closely with production, procurement, quality assurance, and accounts departments; maintain a safe, clean, and orderly stores environment.
Qualifications and Experience
- Full Grade 12 Certificate.
- Diploma in Supply Chain Management, Purchasing and Supply, Logistics, Inventory Management, Business Administration, Food Science, or related field.
- Minimum of two years’ experience in stores, warehousing, or inventory control.
- Experience in food manufacturing, FMCG, hospitality, or catering sectors is advantageous.
- Proficient with ERP systems and Microsoft Excel; experience with ERPNext is a plus.
Skills and Competencies
- Strong inventory and stock control capabilities.
- Excellent attention to detail and accuracy.
- Knowledge of handling perishable goods and expiry-date management.
- Understanding of FIFO, FEFO, batch tracking, and traceability principles.
- Effective record-keeping and reporting skills.
- Ability to investigate and resolve stock discrepancies.

- Capacity to work under pressure and meet production deadlines.
