OLIBUL Investments Limited, a proud Zambian citizen-owned company operating for over a decade in sand mining, limestone quarrying, industrial minerals, and cross-border bulk haulage freight across Northwestern Province and the SADC corridor, is seeking a dedicated and detail-oriented professional for stores and procurement officer jobs in Solwezi. This role is essential to ensuring efficient parts availability and disciplined procurement to maintain fleet operation and quarry productivity.
About the Role
The Stores & Procurement Officer will be responsible for managing the heavy-equipment parts warehouse and overseeing day-to-day purchasing activities. The successful candidate will source, store, and issue heavy-duty truck spares and quarry consumables to minimise vehicle downtime. Additionally, they will run an efficient procurement function, securing quality goods at competitive prices with reliable delivery schedules.
Key Responsibilities – Stores & Inventory
- Inventory Management: Oversee receipt, inspection, and dispatch of heavy-equipment and truck parts as well as quarry consumables such as filters, screens, and wear parts. Maintain minimum and maximum stock levels to avoid shortages.
- Parts Identification: Accurately identify heavy-duty truck parts (engines, transmissions, hydraulics, braking systems) using OEM parts manuals and computerized inventory systems.
- Stock Control: Conduct regular cyclical and perpetual stock counts, investigate discrepancies, and ensure reconciliation between physical stock and ERP/inventory records.
- Workshop Liaison: Collaborate closely with mechanics and fleet supervisors to ensure timely availability of spares for maintenance and breakdown repairs.
- Security & Safety: Enforce strict access control to the stores and ensure hazardous materials and parts are stored in compliance with local safety regulations.
Key Responsibilities – Procurement
- Vendor Sourcing: Research, identify, and evaluate local and regional suppliers for vehicle parts, quarry consumables, PPE, and operational materials.
- Quotation Management: Prepare Requests for Quotation (RFQs), analyse bids, and compile commercial evaluations for management approval.
- Purchase Orders: Generate and issue purchase orders promptly and accurately, ensuring specifications meet end-user requirements.
- Expediting & Delivery: Track purchase orders and coordinate with logistics to guarantee timely delivery of goods to the quarry or depot.
- Invoice Verification: Review supplier invoices, delivery notes, and purchase orders for discrepancies before processing payments.
- Supplier Relations: Build and maintain strong relationships with suppliers, negotiating favourable terms, credit lines, and rapid delivery schedules.
Reporting and Analysis
Prepare daily, weekly, and monthly reports detailing parts usage, slow-moving stock, expenditure, and procurement savings to support operational efficiency and informed decision-making.
Minimum Qualifications and Experience
- Diploma in Materials Management, Supply Chain, Purchasing & Supply, or a relevant mechanical/engineering discipline. CIPS qualification is an advantage.
- 3 to 5 years of experience managing spare parts for heavy-duty commercial trucks (e.g., Volvo, Mercedes-Benz MP4, DongFeng) or mining/quarrying equipment, with procurement exposure.
- High proficiency in computerized inventory and ERP systems such as SAP or Pastel Evolution.
- Strong negotiation skills and advanced proficiency in Microsoft Office, especially Excel.
- Excellent analytical abilities, attention to detail, and conflict-resolution skills for pricing and delivery issues.
- Full Grade 12 School Certificate.
Preferred Additional Qualifications
- Membership with ZIPS or CIPS.
- Previous experience working on active mine sites or quarry operations.
- Valid driver’s licence.
