Position Overview
As the first point of contact for the college, the Receptionist and Admin Assistant will manage communication channels, student inquiries, and documentation flow. Key Responsibilities for Receptionist and Admin Assistant Jobs in Lusaka
- Front Desk & Customer Service: Greet students, parents, visitors, and stakeholders courteously; direct them appropriately; maintain a tidy and professional reception area; handle inquiries about admissions, programs, fees, and services; enforce visitor registration and security protocols.
- Communication Management: Promptly answer and screen phone calls; manage official emails; relay messages accurately to relevant departments.
- Admissions & Student Support: Distribute application forms; provide basic guidance on admission requirements; record and log prospective student inquiries; assist Student Affairs during peak enrollment periods.
- Administrative Duties: Sort and distribute mail; maintain physical and electronic filing systems; assist in scheduling meetings; prepare reports as requested; support compliance with regulatory documentation including TEVETA, HEA, and Nursing & Midwifery Council standards.
- Records & Data Handling: Keep accurate front desk records; ensure confidentiality of sensitive information; update inquiry and visitor tracking systems.
- Institutional Representation: Maintain professional appearance and Christian ethical conduct; positively represent the college to all stakeholders.
Qualifications and Experience
- Diploma in Business Administration, Office Management, Public Administration, or related field.
- Grade 12 Certificate with at least 5 credits including English and Mathematics.
- At least 1 to 2 years’ experience in reception, front desk, or administrative roles; experience in educational or health institutions is advantageous.
