Role Overview – Procurement Officer Jobs in Kitwe
The successful candidate will be responsible for purchasing quality materials and services promptly and at competitive prices to support uninterrupted production activities. This role requires a proactive approach to supplier engagement, contract management, and supply chain optimization.
Key Responsibilities
- Process all approved purchase requisitions following established procedures to meet operational needs.
- Request and evaluate quotations from local and international suppliers, ensuring value for money in supplier selection.
- Develop and maintain standard contracts and service level agreements to safeguard company interests.
- Enhance sourcing strategies by identifying better suppliers and materials.
- Communicate purchase orders and delivery schedules promptly to internal stakeholders, including Heads of Departments and Stores Controllers, to avoid stock shortages.
- Negotiate effectively to secure competitive pricing without delaying procurement timelines.
- Ensure compliance with statutory and regulatory requirements related to production operations.
- Coordinate with finance to guarantee timely payments to suppliers.
- Conduct annual performance evaluations of active local suppliers and recommend improvements.
Performance Indicators
- Delivery: Percentage of on-time deliveries per key supplier.
- Cycle Time: Duration between purchase order placement and requisition submission.
- Supplier Lead Time: Time from order placement to delivery.
- Quality: Ratio of rejected items to total items ordered.
- Inventory Risk: Financial loss due to inventory obsolescence relative to total inventory value.
- Cost: Difference between actual purchasing price and lowest quoted price.
Responsibilities and Decision-Making Authority
- Report procurement performance based on established KPIs.
- Delegate and monitor tasks assigned to subordinates.
- Provide training and development to team members.
- Maintain confidentiality and promote cost-conscious practices.
- Evaluate subordinate work and approve necessary permissions.
- Scrutinize procurement documentation and suggest process improvements.
- Allocate sectional resources effectively to support procurement activities.
Candidate Profile and Qualifications
- Education: Grade 12 certificate.
- Qualification: Advanced diploma or degree in Purchasing & Supply.
- Training: Proficiency in AX Systems (Procurement Module) is required.
- Experience: Minimum 3 years of relevant work experience, with at least 3 years in a managerial capacity and 5 years of professional experience in procurement.
- Skills: Strong communication skills, ability to work in a multicultural environment, tendering knowledge, deadline-oriented, and sound work ethics.
- Professional Membership: Membership with the Zambia Institute of Purchasing and Supply or CIPS is preferred.
- Personal Attributes: Investigative and analytical mindset.
Work Relationships
- Internal Collaboration (80%): Work closely with all departments to ensure timely procurement of required goods and services.
- External Collaboration (20%): Engage with Zambia Revenue Authority (ZRA), suppliers, and government agencies to ensure compliance with relevant legislation and supplier agreements.
Note: All candidates must obtain ZAQA certification from the Zambia Qualifications Authority (ZAQA) to be eligible for this role.
