About the Role: Planning Coordinator Jobs in Kitwe
The Planning Coordinator will be responsible for coordinating, monitoring, and controlling scheduled maintenance activities for TUMI’s fleet of machinery, including Raise Boring, Box Hole, and Loader equipment. This position requires managing maintenance budgets, controlling costs, and overseeing operational programs across multiple mining sites. The successful candidate will ensure compliance with project objectives, monitor contractual milestones, and proactively identify risks or deviations that could impact project timelines or customer commitments.
Key Responsibilities
- Manage procurement of maintenance materials in collaboration with the Logistics Department.
- Coordinate with Supply Chain to ensure timely delivery of materials and spare parts.
- Develop comprehensive maintenance plans, conduct failure analysis, and coordinate with technical teams.
- Consolidate maintenance backlogs reported by operators through inspection checklists.
- Maintain and update preventive maintenance schedules for project equipment.
- Prepare and submit weekly reports on maintenance compliance, both preventive and corrective.
- Estimate costs, timelines, and resources for maintenance activities.
- Prepare and monitor monthly and annual operating budgets (OPEX) for the maintenance department.
- Manage fleet component control and monitor deviations from targets.
- Supervise accurate recording of equipment operating hours in the system.
- Prepare monthly equipment valuations and reports for internal and external stakeholders.
- Analyze maintenance performance indicators such as reliability, maintainability, efficiency, and cost-effectiveness.
- Ensure execution of maintenance plans according to schedules.
- Administer and monitor contract compliance from project start to completion, tracking milestones and deadlines.
- Update and control monthly progress for Raise Boring and Box Hole machines across all service units, maintaining comprehensive project records.
- Manage monthly operational reports, revenue records, and consolidate information for internal departments and clients.
- Review service unit reports, progress valuations, extension requests, and final settlements related to contract administration.
- Follow up on action items from weekly reports with responsible departments.
- Support assessment of client claims or penalties to minimize contractual risks.
- Organize project documentation using an electronic filing system ensuring proper classification and retrieval.
- Maintain control of project logbooks, certificates, service start-up and completion records.
- Prepare and present monthly Operations Department KPIs and annual consolidated reports highlighting service incidents and operational deviations.
- Prepare and distribute minutes for Operations Planning and Control Committee meetings, ensuring effective communication across departments.
- Perform additional duties as assigned by Management related to the position’s scope.
Qualifications and Experience
- Bachelor’s degree in Mechanical, Industrial, Mining Engineering, or a related field.
- Minimum of 4 years proven experience in maintenance planning and heavy equipment management.
- Strong knowledge of budgeting, project scheduling, and maintenance processes.
