Role Overview for Payments and Collections Officer Jobs in Kitwe
The Payments and Collections Officer will play a vital role in maintaining accurate client accounts, tracking payments, and ensuring timely collections. This position requires strong bookkeeping skills combined with excellent communication to collaborate effectively with clients, management, sales, and operations teams. The officer will contribute to reducing overdue balances, supporting subscription renewals, and enhancing overall cash flow.
Key Responsibilities
- Maintain accurate records of client payments including installation fees, monthly support fees, and outstanding balances.
- Monitor accounts regularly to ensure timely payments and early identification of overdue accounts.
- Support subscription renewals by tracking due dates and notifying clients ahead of time.
- Conduct professional and consistent follow-up with clients regarding pending payments and overdue invoices.
- Document follow-up actions, escalate high-risk accounts, and recommend practical solutions for overdue balances.
- Provide basic bookkeeping support by reconciling payment records, receipts, and client balances.
- Coordinate internally with sales, technical support, and management on payment-related matters.
- Prepare periodic reports on receivables, overdue accounts, and collection performance for management review.
- Proactively suggest improvements to payment tracking, collections communication, and reporting processes.
Qualifications and Experience
- Diploma or certificate in Accounting, Finance, Business Administration, Banking and Finance, or related field preferred.
- Experience in collections, accounts receivable, bookkeeping, or customer account management is advantageous.
- Strong proficiency in Microsoft Excel or Google Sheets is essential.
- Familiarity with accounting software, invoicing tools, or CRM systems is a plus.
- Excellent communication skills to engage professionally with clients and internal teams.
- Highly organized with strong attention to detail and ability to manage multiple accounts.
- Demonstrated integrity and confidentiality in handling financial information.
