About the Operations and Supply Chain Officer Role

We are seeking a proactive and results-oriented Operations & Supply Chain Officer to support our supply chain functions in Lusaka. Reporting directly to the Operations & Supply Chain Manager, this full-time role involves providing vital administrative and operational assistance across procurement, warehousing, logistics, fleet management, and supplier relations. The successful candidate will play a key role in ensuring the smooth and timely delivery of goods and services that underpin our business operations.

Key Responsibilities

• Procurement Support: Assist in obtaining supplier quotations, preparing purchase orders, maintaining procurement records, and tracking orders to completion.
• Warehousing & Inventory Coordination: Maintain accurate stock records, support regular stock counts, and liaise with warehouse staff to monitor stock movement and availability.
• Fleet Administration: Coordinate vehicle servicing and maintenance, manage fuel cards, track fuel consumption, and handle related supplier queries.
• Supplier Coordination: Update supplier databases, follow up on orders and deliveries, and assist with product returns and warranties.
• Logistics & Distribution Support: Coordinate deliveries and dispatches, track goods from suppliers to warehouse and customers, and assist in preparing delivery documentation.
• Administration & Compliance: Ensure proper filing and archiving of procurement and logistics documents, assist in maintaining SOPs, and support regulatory compliance.
• Reporting & Data Management: Prepare weekly and monthly reports, update supply chain data systems, and support data analysis on stock levels and procurement trends.

Qualifications and Experience

• Diploma or Degree in Purchasing & Supply, Supply Chain Management, Logistics, or a related discipline.
• At least three years of proven experience in operations support, logistics, and supply chain management.
• Strong knowledge of warehouse operations, inventory control, and fleet management.
• Excellent communication, negotiation, and problem-solving skills with a proactive approach.
• Proficiency in report writing, data analysis, and ERP/CRM systems.
• Valid driver’s license and willingness to travel as required.
