Role Overview: Mines Maintenance Systems Clerk Jobs in Chingola

As an MMS Clerk, you will be responsible for ensuring the accuracy, completeness, and timeliness of data within the Maintenance Management System (MMS/CMMS). Your role will be critical in supporting maintenance planning, scheduling, and compliance efforts to improve equipment reliability and cost control. You will develop dashboards for daily and weekly presentations, capture maintenance activities, and assist in continuous improvement initiatives.

Key Responsibilities

Develop and maintain dashboards for daily and weekly reporting presentations.
Capture all work orders, notifications, and work requests accurately in the MMS.
Update equipment master data, task lists, maintenance plans, and Bills of Quantities (BOQs).
Close out completed work orders with correct labor hours, parts, and failure codes.
Upload supporting documents such as job cards, inspection sheets, and permits.
Assist planners in generating weekly maintenance schedules and managing backlog reports.
Ensure parts reservations and purchase requisitions are linked to work orders.
Generate daily, weekly, and monthly KPI reports for management review.
Maintain statutory inspection records for boilers, lifting equipment, and pressure vessels.
Provide first-line support to artisans and supervisors on MMS usage and inventory control.
Liaise with HR, stores, engineering, maintenance, and management to resolve system or data issues.
Train new users on MMS transactions and mobile data capture processes.
Reconcile parts issued against work orders and flag incorrect cost allocations.
Support annual stock takes and asset verification exercises.

Qualifications and Experience

Minimum 2-3 years of experience in maintenance planning or administration, preferably within mining, drilling, or construction sectors involving heavy-duty machinery.
Diploma or Degree in Mechanical Engineering, Health, Environment & Safety (HES), IT, Records Management, or CMMS-related fields.
Proficiency in computer applications, especially Excel dashboard creation for presentations.
Valid driver’s license; defensive driving certification is an advantage.
Experience with SAP PM, Pronto, AMT, or similar CMMS software is highly desirable.
Strong attention to detail, accuracy, integrity, and ability to meet deadlines.
Excellent communication skills, capable of liaising effectively with artisans and management.
