In this full-time position, you will manage the front desk operations at our busy Service Centre. Your responsibilities will include registering incoming repair jobs, maintaining precise records, issuing quotations and receipts, and managing cash transactions. Your ability to remain calm and professional when dealing with customers, many of whom may be frustrated due to appliance breakdowns, will be essential to the success of this role.
Key Responsibilities
- Welcome and register customers and visitors, creating job cards with detailed contact information, appliance details, and fault descriptions.
- Handle all incoming communications including calls, WhatsApp messages, and emails, logging enquiries and escalating urgent matters as needed.
- Prepare and issue quotations, receipts, and delivery notes, ensuring customer approval before starting any chargeable work.
- Maintain accurate electronic and physical records for job cards, invoices, warranties, and parts requests.
- Provide proactive updates to customers regarding job status, costs, and collection times.
- Coordinate with parts and warehouse teams to confirm stock availability and follow up on orders.
- Manage counter and petty cash, record all transactions, and reconcile daily takings with the system, holding personal accountability for the cash float.
- Compile daily summaries for management covering jobs opened and closed, outstanding complaints, pending parts, and cash reconciliation.
- Ensure the reception and waiting areas are clean, presentable, and secure at all times.
- Adhere to company policies regarding warranty, returns, confidentiality, and health and safety standards.
Qualifications and Experience
- Minimum Grade 12 education; prior experience in administration or customer service is preferred.
- Fluent written and spoken English communication skills.
- Numerate with confidence in cash handling and daily reconciliation.
- Proficient in MS Word and Excel; familiarity with service or invoicing software such as SAGE or TSL is an advantage.
- Highly organized, detail-oriented, and able to maintain composure under pressure, especially when managing challenging customer interactions.
