Position Summary for Finance and Administration Officer Jobs in Lusaka
The Finance and Administration Officer will provide vital financial and administrative support to Seed’s Zambia program during an exciting period of expansion. Reporting to the Finance Manager, this full-time position requires collaboration with the entire country team to ensure compliance, accuracy, and efficiency in financial operations and administrative functions. This national position is based in Lusaka, with an application deadline of 20 August 2026.
Key Responsibilities
- Finance Management: Oversee accounts payable including purchase requisitions, payment requests, vendor payments, and workflow approvals according to organizational policies.
- Maintain accurate financial records by processing transactions in Sparkrock and ensuring compliance with bookkeeping and document retention standards.
- Administer petty cash, staff advances, and other financial transactions efficiently and accurately.
- Perform bank and balance sheet reconciliations to resolve discrepancies promptly.
- Support cash flow management, month-end and year-end closings, budgeting, financial reporting, statutory compliance, and audit preparations.
- Manage reconciliation and retirement of travel advances with timely accountability.
- Administrative Support: Maintain fixed asset registers, assist with procurement administration including asset tagging and vendor record management.
- Provide logistical and administrative support for trainings, workshops, meetings, and events, including venue arrangements, participant coordination, and travel logistics.
- Ensure effective filing systems and safeguard financial and administrative records in line with Seed’s policies and regulatory requirements.
- Perform additional finance and administrative duties as assigned by supervisors.
Qualifications and Skills
- Bachelor’s degree in finance or accounting; progress towards professional accounting qualifications (ZICA, ACCA, CIMA, or equivalent) is advantageous.
- Membership in good standing with the Zambia Institute of Chartered Accountants (ZICA).
- At least two years of progressive experience in finance and administration, preferably within NGOs or donor-funded organizations.
- Proficiency in Microsoft Office, especially Excel, and experience with ERP/accounting systems such as Navision or Microsoft Dynamics Business Central.
- Strong understanding of GAAP, IFRS, financial controls, statutory compliance, and NGO financial management practices.
- Excellent organizational, analytical, and problem-solving skills with meticulous attention to detail.
- Effective interpersonal and communication skills, capable of collaborating across teams and external partners.
- High integrity, professionalism, and commitment to confidentiality and data protection.
- Strong time management skills to handle multiple priorities in a fast-paced environment.
Working Conditions
- Full-time position, 40 hours per week.
- Office-based in Lusaka, Zambia.
- Occasional travel may be required for partner engagements and team meetings.
