Position Overview: Administrative Associate Jobs in Lusaka
Reporting to the Finance & Admin Director, the Administrative Associate will play a critical role in managing office operations, supporting procurement, maintaining compliance, and providing essential IT and administrative support. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking in a dynamic environment.
Key Responsibilities
- Administrative Support: Manage office files and documentation, draft correspondence, coordinate meetings and communications.
- Office Management: Oversee office supplies inventory, ensure a well-maintained workspace, liaise with service providers.
- Team Support: Organize meetings and logistics, assist with presentations and reports, take accurate minutes, coordinate travel arrangements.
- Compliance and Record-Keeping: Maintain confidential organizational records and ensure proper filing systems.
- Procurement and Vendor Management: Manage procurement processes, maintain vendor records, ensure timely delivery and compliance with policies.
- IT Support and Maintenance: Provide first-level IT support, maintain office equipment, coordinate IT security and asset management.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Procurement, or a related field.
- Minimum of 3 years’ experience within the NGO sector.
- Strong organizational and multitasking capabilities.
- Proficiency in Microsoft Office Suite, email systems, and virtual collaboration tools such as Teams, Zoom, and Google Meet.
- Excellent communication and interpersonal skills.
- High integrity, discretion, and commitment to confidentiality.
- Adaptability and eagerness to learn in a fast-paced setting.
