Position Summary: Administrative Associate Jobs in Lusaka

Reporting to the Finance & Admin Director, the Administrative Associate will play a crucial role in managing office operations, supporting team logistics, overseeing procurement processes, and ensuring compliance with organizational policies. This full-time position requires someone highly organized, detail-oriented, and capable of multitasking in a dynamic environment.

Key Responsibilities

  • Administrative Support: Maintain office files and records; draft and edit correspondence and reports; schedule and coordinate meetings and events; manage communications including emails, phone calls, and mail.
  • Office Management: Monitor office supplies inventory and place orders; ensure a clean and well-equipped office environment; liaise with service providers for maintenance and repairs.
  • Team Support: Organize meeting logistics and materials; assist with presentations and reports; take accurate meeting minutes capturing decisions and action points; coordinate travel arrangements for staff and visitors; provide administrative support to projects as needed.
  • Compliance and Record-Keeping: Ensure proper documentation and filing of records; maintain confidentiality of sensitive information.
  • Procurement and Vendor Management: Manage procurement by gathering quotes and ensuring policy compliance; keep accurate records of purchases and contracts; coordinate timely delivery with vendors; prepare procurement reports for audits and donor compliance; monitor inventory levels and restock as necessary.
  • IT Support and Maintenance: Provide first-level IT support; maintain and update office equipment; manage data backups; oversee IT security and liaise with external providers to ensure systems remain operational and compliant.

Qualifications and Experience

  • Bachelor’s degree in Business Administration, Procurement, or a related discipline.
  • Minimum of three years’ experience working within the NGO sector.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and virtual collaboration tools such as Teams, Zoom, and Google Meet.
  • Excellent communication and interpersonal skills.
  • High integrity, discretion, and commitment to confidentiality.
  • Adaptability and eagerness to learn in a fast-paced work environment.
