Position Overview for Administrative Assistant Jobs in Lusaka

The Administrative Assistant will play a crucial role in supporting the Human Resources Manager and managing various administrative functions. This includes maintaining personnel records, processing payroll for site workers, and assisting with staff supervision at the site. The role also involves preparing and distributing correspondence, maintaining employee databases, reconciling expense reports, and facilitating compliance with HR policies and labor regulations.

Key Responsibilities

  • Assist the HR Manager with all administrative requirements and tasks.
  • Manage, maintain, and update personnel files accurately.
  • Process payroll for site workers promptly and accurately.
  • Support management of on-site staff and monitor attendance and performance.
  • Prepare and distribute emails, memos, letters, faxes, and other correspondence.
  • Maintain and update the employee database regularly.
  • Submit and reconcile expense reports efficiently.
  • Coordinate the processing of various certificates with external organizations.
  • Respond to HR-related queries and concerns from staff professionally.
  • Ensure adherence to the company’s human resources policies and promote compliance.
  • Oversee health and safety practices to foster a conducive work environment.
  • Serve as a point of contact for both internal and external clients.
  • Perform additional duties as assigned by the supervisor.

Qualifications and Experience

  • Full Grade Twelve (12) School Certificate with at least 5 ‘O’ Levels at credit level or better, including Mathematics and English.
  • Diploma in Human Resource Management, Business Administration, or a related field.
  • Minimum of 1 year practical experience in human resource and administrative functions.
  • Experience in HR operations such as recruitment support, payroll input, and records management is essential.

  • Proficient in computer applications, particularly MS Office.
  • Basic negotiation and conflict resolution capabilities.
  • Strong analytical and problem-solving skills.
  • Demonstrates high integrity, confidentiality, and ethical behavior.

  • Good understanding of Zambian Labour Laws and employment regulations.
  • Ability to maintain accurate records and prepare comprehensive reports.

Compensation and Location

The position offers a monthly salary of 4,000 ZMW. The job location is at Emerald Hill, opposite R&G Arena, Lusaka, Zambia.
