The Administration Assistant will provide essential administrative support to ensure smooth office operations and effective coordination within the organization. Key responsibilities include maintaining accurate records, preparing court schedules, greeting visitors, and managing client files. You will be instrumental in supporting legal services by organizing case documentation and assisting with community outreach logistics.

Key Responsibilities

  • Maintain organized and up-to-date records for correspondence, reports, and legal documentation.
  • Support the implementation of administrative policies aligned with organizational goals.
  • Prepare weekly court schedules and coordinate meetings.
  • Welcome and assist visitors, directing returning clients to the appropriate officers.
  • Open client files and allocate cases to lawyers; diarize cases and meetings accurately.
  • Draft and prepare official documents and maintain professional communication via email, phone, and mail.
  • Advise new clients about the legal services offered by NLACW and ensure office decorum is upheld.
  • Manage office inventory, including supplies and equipment, and oversee procurement of refreshments.
  • Maintain a clean and organized work environment conducive to staff and visitor needs.
  • Assist with legal awareness campaigns and community outreach initiatives.
  • Support compliance with organizational policies and contribute to policy advocacy documentation.

Qualifications and Experience

  • Diploma or Degree in Business Administration, Public Administration, or a related field.
  • Certificate in Office Administration or Secretarial Studies is an advantage.
  • At least 1 to 2 years of relevant administrative experience, preferably in an NGO or corporate setting.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Basic knowledge of office management systems and procedures.
