Position Overview
Reporting directly to the Front Office Manager, Assistant Front Office Manager, and Team Leader, the Front Office Receptionist plays a vital role in delivering outstanding guest services and maintaining operational efficiency. The successful candidate will assist in managing guest registrations, inquiries, reservations, and billing processes, ensuring Hyatt’s high standards of service are consistently met.
Key Responsibilities for Front Office Receptionist Jobs in Lusaka
- Greet and attend to guests promptly and courteously, maintaining a welcoming atmosphere at the front desk.
- Manage guest registration, check-ins, and check-outs efficiently while providing all necessary information.
- Accurately input guest folios and reservation details into the computer system.
- Handle telephone calls professionally, ensuring clear and friendly communication.
- Manage room reservations, including VIP and special request allocations, ensuring rooms are ready ahead of arrivals.
- Maintain daily log books, prepare registration cards for arrivals, and update guest history files regularly.
- Process guest messages and post charges to guest accounts promptly.
- Conduct foreign exchange transactions and ensure proper receipts are issued.
- Assist with individual and group check-outs, ensuring all billing and payments comply with hotel policies.
- Prepare and balance cash reports and remittance envelopes at shift end.
- Operate the switchboard during night shifts, managing calls, billing, wake-up calls, and guest requests.
- Support the Night Audit Process when assigned to night duty.
- Maintain professional appearance and adhere to Hyatt’s grooming and uniform standards.
- Promote teamwork and maintain positive relationships with colleagues and other departments.
- Comply with hotel policies, including health, safety, and fire regulations.
- Attend training sessions and meetings as required to enhance skills and departmental knowledge.
Qualifications and Experience
- Completed Grade Twelve certificate.
- Minimum Diploma in Hospitality Management; higher education qualifications are advantageous.
- Certification of qualifications through the Zambia Qualifications Authority (ZAQA).
- At least three years of practical experience as a receptionist, preferably in a hotel environment.
