Key Responsibilities for the Stores Clerk Role

  • Receive goods by conducting physical identification, inspection, and verification against supporting documentation.
  • Accurately enter goods received into the Inventory Management System and raise Goods Received Notes (GRNs) with proper authorization.
  • Collaborate with end users to confirm that received goods meet specifications.
  • Issue store items using authorized requisition forms and maintain updated records of goods issued.
  • Conduct regular physical stock checks, ensuring quality and quantity align with records, and report any discrepancies promptly.
  • Maintain organized and secure filing of all store records and documents.
  • Monitor minimum and maximum stock levels daily and report variances to management.
  • Prepare and submit purchase requisitions with necessary approvals to the procurement department and follow up to ensure item availability.
  • Perform bi-monthly physical stock takes and resolve variances in coordination with relevant departments.
  • Submit supporting documents for received goods to the accounts department to facilitate timely payments.
  • Ensure cleanliness and hygiene of store areas, maintaining a safe and organized environment.
  • Control physical access to store areas and perform other duties as assigned by the Stores Manager.

Qualifications and Skills Required for Stores Clerk Jobs in Lusaka

  • Grade 12 Certificate.
  • Diploma in Purchasing and Supply or an equivalent qualification.
  • At least one year of relevant work experience in inventory or stores management.
  • Membership or affiliation with the Zambia Institute of Purchasing and Supply (ZIPS) is mandatory.
  • Strong competencies in inventory management, data entry, and record keeping.
  • Excellent quality control and problem-solving skills.
  • Strong organizational abilities with keen attention to detail.
  • Effective communication skills and time management capabilities.
