The Centre for Infectious Disease Research in Zambia (CIDRZ) is seeking a dedicated and experienced Senior Grants Management Officer to join our team in Lusaka, Zambia. Position Overview for Senior Grants Management Officer Jobs in Lusaka

Reporting directly to the Grants and Contracts Manager in the Office of Sponsored Programs, the Senior Grants Management Officer will be responsible for monitoring sub-awardee activities and strengthening their capacity for fund management and timely reporting. The role also involves tracking the lifecycle of awards, reconciling receivables, managing modifications, and maintaining an up-to-date grant database to ensure smooth and compliant grant operations.

Key Responsibilities

  • Timely capture of authorized fund requests and milestone completion invoices in the ERP system for assigned projects.
  • Conduct monitoring and support supervision visits to sub-recipients to ensure compliance with grant requirements.
  • Build capacity of sub-awardees on financial rules and regulations related to program implementation.
  • Collaborate with project teams and sub-awardees to develop costed workplans and budgets.
  • Manage a portfolio of awards, providing day-to-day support and information to project staff, partners, and sub-recipients.
  • Work closely with the finance department to reconcile award account receivables and payables, ensuring accurate and timely financial reporting.
  • Facilitate the creation and management of ERP and ESS codes for assigned projects.
  • Support staff effort reporting and profiling in ESS, coordinating with project principal investigators and managers.
  • Ensure adherence to grants management policies, directives, and procedures through the grants management system.
  • Assist with reviewing and completing grant documentation such as Notices of Awards, Memoranda of Understanding, and subcontracts.
  • Maintain an up-to-date grants database and support internal and external audits on assigned projects.
  • Facilitate grant closeout processes by coordinating with project accountants and managers to ensure all expenditures are recorded and systems are properly updated.
  • Monitor milestones and reporting timelines, ensuring timely submission of invoices and financial reports.
  • Coordinate grant-related meetings, generate Budget to Actual reports, and analyze burn rates.
  • Resolve technical and financial issues between project teams and finance/operations departments.
  • Provide technical support to staff and sub-recipients as needed.
  • Track departmental tasks and ensure timely execution of responsibilities.
  • Maintain open and effective communication with team members and stakeholders.

Qualifications and Experience

  • Grade 12 certificate.
  • A degree in Business Administration, Accountancy, Finance, or a related field.
  • At least three years of experience in the private sector and/or NGOs, including documentation, filing, and exposure to programmatic projects.
  • Proficiency with grants and financial management systems.
  • Knowledge and training in donor rules, regulations, and policies is preferred.
  • Strong communication and interpersonal skills.
  • Intermediate to advanced skills in Microsoft Office, especially Excel and Word.
