As a Procurement Officer at ASA Microfinance Zambia, you will lead the development and implementation of procurement strategies aligned with company goals. Your responsibilities will include preparing comprehensive procurement plans, managing supplier evaluations, and negotiating contracts to secure the best value for the organization. This position demands meticulous management of inventories and purchase records, alongside maintaining up-to-date supplier information to support informed decision-making.

Key Responsibilities

  • Develop and continuously review company strategies for ordering supplies and equipment.
  • Prepare organization-wide procurement plans covering equipment, services, and supplies.
  • Prepare budgets, conduct cost analyses, and generate procurement reports.
  • Evaluate suppliers, products, and services, negotiating contracts in accordance with company policies.
  • Negotiate new purchase contracts with vendors to secure favorable terms.
  • Review, compare, analyze, and approve timely purchases to meet operational needs.
  • Manage inventory levels to ensure adequate stock availability.
  • Maintain accurate records of purchases and pricing.
  • Update and maintain supplier information including qualifications, delivery schedules, and product ranges.
  • Research and assess prospective suppliers to expand the vendor base.
  • Communicate regularly with suppliers to sustain positive and professional relationships.

Qualifications and Skills

  • Degree in Procurement and Supply Chain Management, BSc Accounting, or BBA. CIPS certification is an advantage.
  • Membership of the Zambia Institute of Purchasing and Supply (ZIPS) is required.
  • Several years of experience as a Procurement Officer within a reputable organization.
  • Proficiency in Microsoft Office and procurement software applications.
  • Comprehensive knowledge of procurement processes, supplier management, and market analysis.
  • Experience with RFQ, RFP, and RFI processes and managing procurement standards.
  • Understanding of global market trends, supply chain dynamics, and pricing strategies.
  • Excellent networking, negotiation, leadership, and communication skills.
  • Strong analytical, strategic thinking, and attention to detail.
  • Proactive, hands-on approach with high integrity and professionalism.
