Prospero Limited is seeking a dedicated National Administrative Staff to provide essential administrative, logistical, and operational support for the Enterprise Zambia Challenge Fund (EZCF) 2.0 Matching Grant Facility. This full-time position, based in Lusaka with travel across Zambia, offers an exciting opportunity to contribute to a dynamic development project supporting SME growth and private sector development.

Position Overview – National Administrative Staff Jobs in Lusaka

The National Administrative Staff will play a pivotal role in supporting the Team Leader and Operations Manager to coordinate project activities efficiently. Responsibilities include managing Calls for Applications, expert deployments, stakeholder engagement, meetings, reporting, and project documentation. The role ensures smooth execution across five key work packages:

  • Pipeline development and expert pool recruitment
  • Preparation and management of Calls for Applications
  • Pre-award technical assistance
  • Pitch event facilitation and final selection support
  • Post-award strategic advisory and market support

The successful candidate will collaborate closely with the project team, consortium partners, and external stakeholders while ensuring compliance with GIZ administrative procedures and donor regulations.

Key Responsibilities

  • Manage day-to-day administrative operations of the project office and support coordination among consortium partners.
  • Coordinate calendars, meetings, and communication with GIZ, experts, and stakeholders.
  • Maintain comprehensive project correspondence, filing systems, and document registers following quality management standards.
  • Support the preparation, receipt, and tracking of applications on the digital platform and maintain application databases.
  • Organize logistical arrangements for experts, consultants, events, workshops, trainings, and stakeholder meetings.
  • Assist in financial and contract administration, including invoice verification and expenditure tracking.
  • Prepare reports, presentations, and project deliverables with quality control and version management.
  • Support project communication and visibility efforts, including newsletters and website updates.
  • Undertake duty travel within Zambia as required to facilitate project activities.

Qualifications and Experience

  • Bachelor’s degree in Business Administration, Project Management, Public Administration, Finance, Economics, International Development, or related field.
  • 3 to 5 years of progressive experience in project administration, grant management, finance, procurement, or programme support.
  • Experience working with donor-funded projects, preferably with GIZ, EU, BMZ, KfW, FCDO, USAID, or similar partners.
  • Proven skills in workshop and event support, consultant recruitment, travel coordination, and project documentation management.
  • Strong organizational abilities with excellent attention to detail and knowledge of donor compliance and confidentiality requirements.
  • Proficiency in Microsoft Office 365; experience with SharePoint, CRM, or digital project management tools is advantageous.
  • Excellent written and spoken English (minimum C1 level); knowledge of local Zambian languages is a plus.
