Position Overview

The Human Resource Data Registry Clerk will be responsible for maintaining accurate and up-to-date employee records, both physical and electronic, while ensuring strict compliance with retention policies. This role supports the HR team by processing new hire documentation, scanning and filing documents, managing correspondence, and overseeing the movement and organization of files. Confidentiality and precision are essential to facilitate accurate information flow within the HR department.

Key Responsibilities for Human Resource Data Registry Clerk Jobs in Ndola

  • Record Management: Maintain and retrieve personnel files including contracts and performance reviews in both physical and digital formats.
  • Data Entry: Update employee details such as bank information, contact data, leave records, payslips, and disciplinary documents in internal HR databases.
  • Correspondence Handling: Receive, sort, register, and distribute incoming and outgoing mail, faxes, and documents to relevant departments or staff.
  • On-boarding Support: Manage new hire records and assist with the preparation and processing of onboarding documentation.
  • File Tracking and Archiving: Monitor file movement, ensure compliance with archiving and disposal procedures, and maintain an organized filing system.
  • Documentation Processing: Handle HR-related documents including recruitment materials, training records, and contract files.
  • Additional Support: Assist the Human Resources Manager with daily tasks, including organizing employment contract signings and other HR administrative duties as assigned.

Qualifications and Experience

  • Diploma in Human Resource Management, Business Administration, or a related field.
  • Paid-up member of the Zambia Institute of Human Resource Management (ZIHRM).
  • Zambian citizen with a valid National Registration Card (NRC).
  • Grade 12 certificate with credits in Mathematics and English.
  • Minimum of one year of relevant experience in Human Resources.
  • Proficient computer skills.
