Mac Staffing Solutions Ltd is seeking a dedicated HR Onboarding Specialist to manage the complete onboarding lifecycle for co-employed workers based in Lusaka, Zambia. This role is critical in balancing operational efficiency with strict legal compliance, ensuring all new employees are onboarded with fully compliant employment contracts and registered with local statutory bodies such as NHIMA and NAPSA before commencing work.

About the HR Onboarding Specialist Role

The successful candidate will take ownership of drafting and executing employment contracts tailored to client needs while adhering to the Zambian Employment Code Act of 2019. You will maintain confidential digital employee records, coordinate statutory registrations, and support recruitment and offboarding processes. This full-time position requires a detail-oriented professional who thrives in a fast-paced HR environment.

Key Responsibilities for HR Onboarding Specialist Jobs in Lusaka

• Employment Contract Management: Draft and review fixed-term, permanent, and casual contracts in compliance with local labor laws and client specifications. Maintain and update contract templates, certificates of service, and policies.
• Statutory Registrations and Compliance: Register all new hires promptly with NHIMA, ensure accurate payroll data entry including banking details and TPINs, and conduct mandatory background and fitness checks aligned with industry requirements.
• Employee Offboarding and File Management: Administer offboarding procedures, process resignation documentation, calculate accrued leave, prepare service certificates, and keep employee files audit-ready for labor inspections.
• Disciplinary Processes: Investigate cases, draft official charges per company policy, and serve as hearing secretariat.
• Medical Insurance Administration: Audit monthly medical scheme invoices against active employee lists to ensure accuracy and compliance with client agreements.
• Recruitment Support: Participate as a recruitment team member and authenticate candidate CVs.

Performance Expectations

• Issue compliant employment contracts within 48 hours of onboarding requests.
• Achieve 100% statutory registration accuracy within the first 7 days of employment.
• Maintain zero payroll errors related to onboarding data.
• Ensure 100% pass rate in all internal and external HR audits.

Qualifications and Experience Required

• Diploma or bachelor’s degree in Human Resource Management, Public Administration, or related fields.
• Active registration with the Zambia Institute of Human Resource Management (ZIHRM) is highly preferred.
• Minimum of 2 years’ experience in HR administration or onboarding, preferably in a high-volume or consultancy setting.
• Strong knowledge of Zambian labor laws, including probation, leave entitlements, public holidays, and statutory registrations.
• Exceptional attention to detail, organizational skills, and proficiency with HRIS platforms and digital signature tools such as DocuSign or AdobeSign.
